BOOKING YOUR HOLIDAY

  1. Your contract in respect of your holiday is made with Chalo Pakistan Tours (‘the Company‘), registered under the Securities and Exchange Commission of Pakistan No. 0134375 and based in Karachi. All bookings are subject to these terms and conditions.
  2. All communications by the Company in relation to your holiday will be sent to the email address stated on the booking form.
  3. All bookings must be made through the authorized representative of the Company and confirmed via email by the central team in Karachi. At the time of booking the Company booking form must be completed and submitted together with a deposit of 50% of the total cost of the booking.
  4. Receipt of the deposit and booking form by the Company does neither guarantee nor imply confirmation of the booking. No booking shall be confirmed until the Company issues a written notice. The Company reserves the right to refuse a booking without giving any reason and shall in that event return any deposit received.
  5. Your holiday must be paid in full at least 30 days before the departure date. If payment is not received by the due date, the Company reserves the right to cancel the booking and retain any deposit. The person who signs the booking form guarantees payment of the total amount shown on the booking form in accordance with these conditions. It is the responsibility of the signatory to ensure the Company receives payment in full by the due date. No reminders will be sent.
  6. If you book within 30 days of your departure date payment must be made in full at the time of booking.
  7. All special requests, such as dietary requirements, should be noted on the booking form.
  8. The Company will provide the service as set out and confirmed in writing.

Hotels & Accomodation

  1. The Company offers hotel, rest houses, and private accommodation bookings throughout Pakistan at the most competitive market rates including luxury suites, premium rooms, conference halls and venue bookings.
  2. All your hotel bookings are inclusive of half board where the Company will cover your breakfast and a single full meal (typically dinner) at the hotel property. The full meal will either be provisioned as a buffet or as a limited value voucher depending on the dining options at each property.
  3. Where provisioned your hotel bookings also include complimentary access to exclusive private lounges and a spa-pass for a complimentary signature massage therapy for each guest.
  4. You can currently only avail these accommodation booking benefits as part of your tour itinerary if you purchase any of the signature tour packs of the Company. Alternatively the Company can design a custom tour that covers your travel needs and events, and includes the provision of hotels, properties and venues.
  5. Your stay at the properties are subject to the rules and conditions of the properties. Your travel designer will be available to advise you on these conditions for a pleasant stay.
  6. The hotel inclusions in the signature tour packs have been crafted according to the tour theme in order to give you the most complete experience of your themed journey. You may request to alter the hotel and accommodation selections before your travels. The Company however strongly recommends to continue with its carefully designed choices.
  7. To allow for flexibility in the post COVID-19 period, any hotel booking secured between 1 July 2020 to 31 Dec 2020 can be changed up to three weeks prior to the check-in dates. The Company will provide comparable alternative hotel and room options in such an event.
  8. All the signature tours of the Company involve a rolling accommodation itinerary where properties are frequently changed to provide unique stay experiences. During the trip, any guest requests to change the hotel bookings will not be furnished unless if the guest is willing to pay additional costs for such bookings.

Transportation

  1. The Company provisions quality and premium ground transport services including 4X4s, SUTs, salons and luxury sedans. The transportation options vary between seasons and regions and are confirmed at the time of planning.
  2. The vehicles are categorized in performance ranges such as above. Even after a booking has been confirmed the actual vehicle selection may alter due to unforeseen vehicle maintenance and availability issues . The Company is not liable to modify any part of the package price as far as a vehicle of a comparable option and range has been provisioned.
  3. Transport services are provisioned with a driver for the whole journey. All drivers come with the required experience of the local routes and terrains. Driver meal and stay costs are included in the package and are handled by the tour manager who accompanies you on the trip.
  4. All transport provisioned by the company come with a fixed estimate of daily drive time and fuel costs. This varies between vehicle types and season. Ground transport is unpredictable, and journeys might take longer distance and time to cover. Guests may also request for detours which extends the drive time of the vehicle. In all such cases the accompanying tour manager will advise you on the extra costs and you will be liable to accommodate for these costs.
  5. The vehicles come equipped with Wi-fi connections. However the signals might be weak to non-existent in certain remote areas of your journey.
  6. Flights, helicopters and water-crafts are selectively provisioned on a few of the signature tours. In all such instances it is your responsibility to follow the instructions of your aircraft/marine craft operator and your tour manager. In other instances some of the themed tours involve terrain-capture rides which may involve safety hazards such as dune bashing, water-bashing, high speed drives, and high-altitude routes. Make sure your travel insurance covers you for such transportation experiences.
  7. You are not allowed to take drive of the vehicle on any of the provisioned land, sea or air journey.

Tours

  1. The tours provided by the Company are categorized as signature tours or custom tours. The signature tours are split across 5 themes while the custom tours can be designed according to your request.
  2. The activities and inclusions under each tour are detailed on the website and will be finalized in your personal travel itinerary that will be emailed to you at the time of booking.
  3. Most of the inclusions are based on experiences which may vary by situation and for different types of travelers. This unpredictability means that the itineraries should be seen as statements of intent, rather than as contractual obligations.
  4. All signature tours include a half-board, where either day’s lunch or dinner is included in the package. The venue for the half-board has been curated by the Company according to the theme of your tour and for an immersive experience. This can however be further modified to your taste and preference by your tour designer before the trip. The venue is selected to be either at the hotel of your stay for dinners or at restaurant and venues outside the hotel as deemed safe and taste-worthy by the company. The half board may either be a buffet course, a pre-set meal, or a limited value voucher depending on the dining options available.
  5. All signature tours include a tour manager and a driver, and may provisionally include tour guides and support staff and crew members for excursions such as hiking, camping, and hunting. The tour manager will be responsible for guiding the journey and your experiences throughout the trip while the tour designer from the central office will plan your bookings and schedules.
  6. No unaccompanied minors (i.e. those under 18 years of age) can be accepted on tours operated by us. Children under 18 years of age may travel on select tours provided that they are accompanied by a parent or a guardian who accepts full responsibility for them and subject, in all cases, to our ultimate discretion.
  7. You agree to accept the authority and decisions of the employees, tour managers, and agents of the Company whilst on tour with us. Any unsolicited requests will not be entertained. If in the opinion of such person, the health or conduct of a client before or after the departure appears likely to endanger the safe, comfortable or happy progress of the tour, the client may be excluded from all or part of the tour, in which case all monies paid will be forfeited and we will not be liable to pay any compensation whatsoever to that client.

Price Policy

  1. The Company is under no obligation to furnish a breakdown of the costs involved in a holiday.
  2. The Company reserves the right to notify you of any increase in price before accepting your booking.
  3. After a Confirmation Invoice has been issued, unless you choose to pay for your holiday in full at the time of booking, the price of your holiday is subject to the possibilities of surcharges in certain limited circumstances. However, a surcharge will only be levied to allow for variations in transportation cost, including cost of fuel, increase in normal published airfares, taxes or fees chargeable for services such as insurance, permits, access rights, visa processing, landing taxes at airports, the exchange rate applied to the particular package or if the government or regulatory body introduce a new fee or increase of taxes. Surcharges will be notified by a revised Confirmation Invoice sent to you.
  4. We will absorb and you will not be charged for any increase equivalent to 2% of the price of your travel arrangements, which excludes insurance premiums and any amendment charges and/or additional services or travel arrangements. You will be charged for the amount over and above that.
  5. If a surcharge would increase the total holiday price shown on your original Confirmation Invoice by 10% or more, you may cancel your booking within 7 days of the date of issue of the revised Invoice and obtain a full refund of all payments made to the Company except for any costs already incurred on your behalf.
  6. Optionally, you may choose to pay for your holiday in full at the time of booking, in which case your holiday price will be fixed at the cost quoted by the Company at the time. To qualify for this benefit, you should return the Confirmation Invoice to the Company with full payment to reach the Company within 7 days of the date printed on the Confirmation Invoice.
  7. The Company is not able to reduce the holiday prices due to currency fluctuations.
  8. The Company will provide the service as set out and confirmed on your personalized tour itinerary. Prices do not include tips/gratuities to tour manager, drivers or local guides, passport and visa fees, baggage and personal insurance, any items of a personal nature, taxes or duties, and any beverages or food not specifically listed under the “Inclusions� for the Day Tour or single service you have booked.

Cancellations & Changes

  1. Our holidays are adventurous by nature and you accept that the holiday may include travel to remote areas, where events are less predictable than is usually the case in the major cities. Many of the places visited do not have the same quality of emergency health and safety services that you might be used to in your country/city. Internal flights can be cancelled, road transport can be uncomfortable and unreliable, and hotels often do not approach the standards of the West.
  2. If you are not prepared for this, you should not travel on these holidays. This unpredictability means that the itineraries should be seen as statements of intent, rather than as contractual obligations. A variety of factors, including weather, transport difficulties and political instability, might require changes in any itinerary. The tour manager will make any changes that are necessary. Only rarely will such changes be significant, and every reasonable effort will be made to minimize the effects of the enforced changes.
  3. Occasionally it may be deemed necessary to make changes to your holiday and the Company reserves the right to do so at any time, and you will be notified of any changes at the earliest possible opportunity. If a major change to your tour is necessary, providing it does not arise from circumstances beyond the Company’s control, you may choose (i) to accept the change of arrangements (ii) to purchase another holiday from us or (iii) to cancel your holiday. Compensation may be payable in cases of major change as detailed below.
  4. No compensation will be payable for minor changes. Minor changes include minimal changes to departure and arrival times, changes to the type of aircraft, ground or sea vehicle, and restaurant and accommodation changes to a comparable or superior standard.
  5. Major changes include, changes to your transportation vehicle, cancellation of key tour activities, delays in departure or return by more than 12 hours and accommodation changes to an inferior standard of accommodation.
  6. Compensation will not be paid for changes or cancellations caused by Acts of God (Force Majeure), war, threat of war, riot, civil strike, industrial dispute, terrorist activity, natural or man-made disaster, fire, technical problems to transport, closure or congestion of airports, strikes or other industrial action, adverse weather conditions or any other event beyond the Company’s control. It is essential that you take out adequate travel insurance.
  7. The Company reserve the right to cancel your holiday at any time before the commencing of your tour, even after a confirmation notice has been sent. If your holiday is cancelled the Company will refund in full the money you have already paid. No compensation will be payable.
  8. If you fail to pay the balance of the holiday price at least 30 days before departure, the Company will treat the booking as cancelled and levy the cancellation charges set out below.
  9. The company also has the right to refuse any person as a member of the tour, if in their opinion that person could endanger the health, safety and enjoyment of others on the tour. In any of the events mentioned above, the company’s sole liability and the client’s sole remedy will be limited to a refund of any monies paid, less the amount for services already utilised plus administrative fees.

Waiver

  1. The Company does not own or manage the aircraft, sea and ground transport vehicles, accommodation, restaurants and other facilities used in conjunction with the tours arranged. While the Company has exercised care in selecting providers of travel, accommodation, restaurants and other facilities, the Company have not had the opportunity to officially inspect and do not represent that such aircraft, vehicles accommodation, restaurants, and other facilities and services have been inspected.
  2. The Company is not responsible if you or any member of your party suffer death, illness or injury as a result of any failure to perform or improper performance of any part of our contract with you where such failure is attributable to (i) the acts and/or omissions of any member of the party, or (ii) those of a third party not connected with the provision of your holiday, or (iii) an event which neither the Company or the service provider could have foreseen or prevented even with due care.
  3. Should any member of your party suffer illness, injury or death through misadventure arising out of an activity or event, which either forms or does not form part of the holiday that the Company has arranged for you, the Company cannot accept liability. The Company will offer general assistance where appropriate.
  4. The Company regret that no refund will be made on unused tickets or accommodation bookings unless a refund can be obtained from the carrier or accommodation provider.
  5. If you are forced or make the personal choice to return home early, we cannot refund the cost of any travel arrangements you have not used. If you cut short your holiday and return home early in circumstances where you have no reasonable cause for complaint about the standard of the travel services provided, we will not offer you any refund for that part of your tour not completed or be liable for any associated costs you may incur. Depending on the circumstances, your travel insurance may offer cover for curtailment. It is your responsibility to contact your insurer at this time for their instruction and to obtain any receipts locally that are required for your claim.
  6. The Company will undertake to ensure the safety of the client throughout the tour, however aspects of each particular tour may not be without an element of danger. Clients should be prepared to sign a ‘Waiver of Responsibility’ form before they begin their tour. This form is an understanding that clients need to always exercise judgement and care to ensure their own safety and that of their fellow tourists.

Insurance

  1. Our tours are crafted in a way to offer our guests thrill and exposure to nature in the different environments they visit. Our tours therefore do have elements of potential hazard and risk in comparison with standard package holidays. All bookings are accepted on the understanding that you appreciate such risks and hazards and that you undertake all tours at your own volition.
  2. All foreign guests MUST take out adequate and suitable travel insurance in order to take part in a tour organized by us and this is a condition of your contract with us. You are wholly responsible for arranging your own insurance. We reserve the right to request a copy of your personal insurance policy and/or a receipt showing payment of the premium, although we will not check this policy for suitability, and it will remain your responsibility at all times to ensure that you’re adequately insured.
  3. You should ensure that there are no exclusion clauses limiting protection for the type of activities you will be undertaking during your tour. You should satisfy yourself that any travel insurance arranged is what you require and should arrange supplementary insurance if needed.
  4. We reserve the right to cancel the booking, without any liability for refunds, of any customer who cannot satisfy us that they have purchased suitable travel insurance in accordance with this clause. Furthermore, if you choose to travel with inadequate insurance cover, we will not be liable for any losses howsoever arising, in respect of which insurance cover would otherwise have been available.
  5. Post COVID-19 the Company has partnered with a local insurance provider for COVID-19 medical protection plan as an optional travel assurance for guests traveling to or within Pakistan. This is an optional plan and subject to the terms and conditions as set forth by the insurer.

Guest Responsibilities

  1. You are responsible for arranging your own travel insurance, though an appropriate policy can be incorporated into your tour package. Details of all insurance policies held by each member of your party must be provided on the booking form. No booking forms can be accepted without sufficient proof that personal policies have been arranged. Please ensure that your insurance cover applies to the specific activities you are booking, and which are confirmed on the Confirmation Invoice.
  2. Each member of the party must have a valid passport, visas and all necessary documentation for the countries they are touring. The Company accept no responsibility for any delay or expense should your documents not be in order.
  3. Some itineraries might include flight and helicopter bookings. You are responsible for checking-in for flights at the correct time and for presenting yourself to take up all pre-booked components of your holiday. The Company cannot accept responsibility for clients missing flights as a result of late check-ins and no credit or refunds will be given if you fail to take up any component of your holiday. No credit of refunds will be given for lost, mislaid or destroyed travel documents.
  4. By booking a holiday with the Company you undertake to behave in an orderly manner and not to disrupt the enjoyment of others on holiday with you nor to do anything to bring the reputation of the Company into disrepute. If you breach this clause your holiday will be terminated with immediate effect and the Company will have no further contractual obligation to you. The Company will be entitled to recover from the offending party and/or the person who signed the booking form compensation for any damage caused.
  5. It is the responsibility of the person who signs the Booking Form to disclose any pre-existing medical conditions that members of their party may have.
  6. All equipment and personal effects shall be all times and in all circumstances at the owner’s risk. The Company cannot accept responsibility for any loss or damage or delay to your luggage or effects unless directly caused by the negligence of one of our representatives.

Visa & Ground Handling

  1. Our tourist visa handling services are offered optionally to guests of all nationalities as an extended and charged service.
  2. It is your responsibility to provide us with the complete, updated, and accurate information regarding your visa application documents.
  3. The visa processing time might vary depending on your passport, the completion of your documents, or as advised by the Ministry of Interior of Pakistan.
  4. We undertake no responsibility or guarantee whatsoever in processing and issuing the tourist visa. Your application might get approved, rejected, or require further supporting documents, procedures, and clarities by the ministry. This remains at the sole discretion of the Ministry of Interior.
  5. You will be solely responsible for any cost, loss or damage which you incur as a result of a failure to obtain all necessary passports, visas and/or vaccinations. We do not accept any responsibility if you cannot travel or incur any other loss because you have not complied with any passport, visa, immigration requirements or health formalities. You agree to reimburse us in relation to any fines or other losses which we incur as a result of your failure to comply with any passport, visa, immigration requirements or health formalities.
  6. Our representatives keep you advised and informed through emails. All communications by the Company in relation to your holiday will be sent to your booking email address.
  7. For foreigners after landing in Pakistan you might be required to register with the office of the district police officer.

Complaints

  1. If you have a problem during your holiday, please inform the relevant airline, hotel, local agent of other suppliers immediately so that they can endeavor to put things right. If you cannot resolve the problems, you must contact your accompanying tour manager to resolve.
  2. If the problem is still not resolved you must contact your tour designer at the Company office so that they are given an opportunity to help. The Company will not hold themselves responsible for the non-performance of an itinerary through causes beyond their control or when they are not notified of a problem at the point where remedial action can be taken. In the unlikely event that a complaint cannot be resolved at the time, you should write to the Company within 28 days of returning home, giving your original booking reference number and all other relevant information. If you fail to take any of these steps you will hinder the Company’s ability to put any problem right and/or investigate it fully, and any right you have to receive compensation will be reduced or completely invalidated.
  3. Any dispute that may arise will be governed by Pakistani law and both parties shall submit to the jurisdiction of the Pakistani Courts.
  4. All information given by the Company whether in writing or orally is to the best of the Company’s knowledge and believed correct at the time given and is given in good faith. The booking conditions shall take precedence over any other warranty or condition that may have been given.

Disclaimer

  1. The Company has made all reasonable efforts to check the accuracy of the information contained in our website. The Company cannot however accept any responsibility for any errors or omissions that may appear in this site.
  2. It may be necessary for the Company to ask you for certain personal information. Examples of this would be dietary requirements, disability/medical or religious information etc.
  3. This information will be kept confidential by the Company and is available to you to inspect during the Company’s normal working hours.
  4. Such information will be passed to the suppliers, if it is necessary for them to know this information in order to fulfill the Company’s contract to you. It will also be passed on as necessary to any government department and authority in order to process your tour arrangements.
